Property Management Services

Financial Services

  1.  Provide monthly Financial reports to consist of:

                    i.      Balance Sheet

                   ii.      Income/Expense Statements

                   iii.      Cash Distribution Report

                   iv.      Accounts Payable Report

                    v.      Delinquency Report

                    vi.      Prepay Report

                    vii.      Monthly review of Budget Variance report

  1. Maintain all office records
  2. Reconcile all bank accounts
  3. Handle the collection of all arrears by sending out late letters and working closely with attorney
  4. Work closely with accountant to prepare and distribute Annual Audited Financials
  5. Provide a preliminary Budget and assist Boards in finalizing
  6. Issue monthly invoices and collect all Association fees, dues and assessments
  7. Review all Invoices for accuracy
  8. Pay invoices twice per month (1st & 15th)  
  9. Assist the associations with all payroll matters as well as handling the tax documents for on-site staff.        

Insurance Service

    1. Advise the Association in all insurance matters
    2. Deal with the insurer and its agents on behalf of the Association
    3. Provide competitive insurance quotes at renewal time
    4. Keep office records of all Liability and Workers Compensation insurance on file for all vendors used

 Maintenance and Repairs

  1. Help Association maintain the maintenance of the property
  2. Prepare bid documents when needed to help insure bids are comparable
  3. Solicit bids for all repairs and maintenance issues
  4. Advise the board on hiring contracts to perform necessary repairs and maintenance
  5. Supervise all repairs and maintenance work done by hired contractors
  6. Advise the Association on how to obtain all tools, fuel, supplies, utility services, extermination services and other services needed for the operation of the Association
  7. Oversee and manage major capital projects
  8. Work closely with engineers to help assist in major projects and to ensure that project is completed as outlined
  9. Receive and act upon unit owner complaints and requests, as well as, maintain relationships with the unit owners
  10. Prepare monthly logs and reports as to the nature of the unit owner's complaints and action taken in order to rectify complaints
  11. Hire, supervise and discharge employees needed by the Association
  12. Work closely with on-site staff to help set up routine maintenance programs and schedules
  13. Handle on-site staff issues, hold monthly staff meetings
  14. Conduct on-site inspections to ensure all building maintenance items are being addressed adequately
  15. Maintain and track work order system for all common area routine maintenance and repair, as well as track work orders submitted by residents

Provide 24 hour emergency call service to the Association
